Why maintenance slips at independent hotels
Most maintenance problems are not missed. They are lost. A housekeeper mentions a loose towel rail to the front desk, the front desk writes it on a notepad, the notepad goes into a drawer, and three weeks later a guest posts a photo of it. Requests live in WhatsApp groups, repairs in a notebook, and the real backlog lives in the head of whoever has been there longest.
Hotel maintenance software fixes this by giving every request one place to go, one person who owns it and one deadline. Turndown does that, and adds the part most tools leave out: someone who actually reads the list every week.
What Turndown does
- One queue for all workGuest requests, repairs, recurring tasks, preventive maintenance and inspections in one list, sorted by what is most urgent. Each job has a priority, a target time, a team, an owner, a checklist, photos, comments and its full history. More about work orders.
- Rooms that know about repairsThe housekeeping board shows every room's occupancy and cleaning status by floor. A room with an open repair is held out of order, so nobody hands it to an arriving guest, and it is released when the job closes. More about the housekeeping app.
- Preventive maintenance that creates its own workEvery AC unit, pump, boiler and generator has a page with its service history and cost. Maintenance plans create the work on time, and units that keep failing are flagged as repeat offenders. More about preventive maintenance.
- Guest requests from a QR codeEach room gets its own QR code. Guests report a problem or ask for towels without an app or a login, in English, Spanish, French, German or Portuguese, and can follow the status. More about guest QR requests.
- Shift handover that gets readThe logbook keeps shift notes, handovers and incidents, with read receipts and acknowledgements, so the night team knows what the day team knew. More about the shift logbook.
- A Today screen for the managerOnly what needs a decision: jobs more than a week past due, guest requests nobody has picked up, rooms that will not be ready for an arrival.
- Reports that show the trendOn-time rate, first response, resolution time, re-opened jobs and backlog age, by team, category, room and person. Export to CSV whenever you like.
Built for people who are not at a desk
Engineers and housekeepers work with their hands full. Everything in Turndown works on a phone, one-handed, with tap targets big enough for a thumb. Each person stays signed in on their own phone for 30 days, picks the language they read best, and keeps working in a plant room with no signal: changes are saved on the phone and sent when it reconnects.
A weekly backlog review, done by a person
Software alone does not empty a backlog. Every Monday, one of the Turndown team reads yours line by line and sends you a short report: each overdue job with a suggested owner and a next step, units that keep failing, and old jobs that can be closed. Once a month we spend 20 minutes on a call looking at the trend with you. How a weekly backlog review works.
Connected to your PMS
Turndown reads rooms and reservations from Cloudbeds, Mews or Apaleo, or from a CSV export of any other PMS. Arrivals, departures and stayovers appear on the housekeeping board, and the board shows when the last sync ran so you always know the data is current.
