What the connection does
Apaleo holds your units and reservations. Turndown reads both, so the housekeeping board shows which rooms are arriving, departing and staying without anyone copying the list across. The manager's Today screen uses the same data to flag rooms that will not be ready for an arriving guest, and arrivals booked into a room that is blocked by a repair.
Going the other way, Turndown sends each room's condition back to Apaleo as clean, clean to be inspected or dirty. The front desk keeps working in Apaleo and sees housekeeping's progress there.
What syncs in each direction
| Direction | What moves |
|---|---|
| Apaleo to Turndown | Units. Reservations. |
| Turndown to Apaleo | Room condition: clean, clean to be inspected and dirty. |
| Not sent to Apaleo | Out of order. Also work orders, guest requests, logbook notes and asset records, which stay in Turndown. |
Apaleo's three conditions fit an inspection routine well. A room the attendant has finished but a supervisor has not yet checked can show as clean to be inspected, and the front desk can tell it apart from a room that is ready to sell. The room board in Turndown shows when the last sync ran, so everyone can see whether the list is current.
Out of order stays in Turndown
When a repair takes a room out of use, Turndown holds it out of order while the job is open and releases it when the job closes. That hold is not pushed back to Apaleo. In Apaleo, out of order is managed separately from the housekeeping condition, and it affects what you can sell.
So the rule is simple: if a repair will keep a room off sale, set it out of order in Apaleo too, and take it off again when the job is done. For a short repair, such as a leak that will be fixed by lunch, tell the front desk directly. The Turndown hold keeps the room flagged on the board, and the Today screen warns you if an arrival is booked into it. Our guide to out-of-order rooms covers when to block a room and for how long.
What you need to provide
- API access to your Apaleo accountTurndown connects through the Apaleo API. We tell you exactly what to create in your Apaleo account for your property, and you pass it to us during onboarding.
- Your equipment list and open issuesThese do not come from Apaleo. Send us whatever you have, a spreadsheet is fine, and we import it with the rest of your setup.
Setup is done by us
You do not configure the connection yourself. During onboarding we connect your Apaleo account, run the first sync and go through the room board with you to check it matches what you see in Apaleo. Then your team starts using it. There is no separate fee for the connection: it is part of the plan at $299 per property per month. See what's included.
Turndown is independent software. It connects through the Apaleo API using the access you create.
Tips for running housekeeping with Apaleo
- Decide who changes room condition. If attendants and supervisors work in Turndown, ask the front desk not to change conditions by hand in Apaleo except in an emergency. One place to change it means one answer.
- Assign arrivals to clean rooms, not clean to be inspected. If you inspect, make it the front desk's habit to give arriving guests only rooms that show as clean in Apaleo.
- Glance at the sync time each morning. The housekeeping plan is only as good as the arrivals list behind it. If the last sync looks old, check before the attendants start.
- Use the same unit names everywhere. Pick the name the guest sees and use it on the QR cards, the asset tags and the work orders.
